How do employees take part in the survey?

Participation with e-mail access
Procedure for employees who work in the office, for example:
- E-mail from Mercer is sent to the employee
- Employees receive an e-mail from Mercer via Outlook with an individual survey link for participation
- Employees can take part in the survey using SSO authentication for secure access
Participation in the survey is via single sign-on (SSO). This means that employees can log in with their regular STABILUS access data - no additional passwords or logins are required.

Participation without e-mail access - KIOSK approach
Procedure for employees who work at the plant, for example:
- A general KIOSK link (shared via internal communication) to enter the individual survey code
- The individual survey code is given to each employee personally in paper form by the direct manager
- Employees open KIOSK link and enter individual survey code
Device options for employees: Use of private devices or devices provided by Stabilus (laptop, tablet, smartphone).
The individual access code is distributed to managers by the local HR department up to two weeks before the start of the survey.
Employees receive their individual access code directly from their manager at the start of the survey.

When will the survey take place?
Why are we conducting this survey?
We want to understand how our employees around the world perceive Stabilus as an employer. The survey serves as an important sentiment indicator and helps us to identify issues that affect everyday working life. This feedback forms the basis for deriving targeted measures - with the aim of creating a better working environment and a sustainable corporate culture.
The results of the survey show us what is already working well - and where we can still improve as an employer. Building on this, we develop specific measures with the aim of making Stabilus an "Employer of Choice" - a workplace where people enjoy working and are proud to recommend.
How long does it take to complete the survey?
How can employees take part in the survey?
The survey is conducted digitally. Employees can participate easily and anonymously via an online questionnaire - using any internet-enabled device, such as a smartphone, laptop or tablet. The use of private devices is also permitted.
- Employees with e-mail access will receive a personal e-mail invitation via Outlook containing an access link to the survey.
- Employees without e-mail access will receive their access data in printed form from their manager. Don't have your own device? No problem. Company devices are available at all locations, which you can use to take part.
Access is personalized - each person can only take part in the survey once.
Employees do not have a company device and do not want to participate via their private device. What options do they have?
No problem. Company devices are available at all locations, which employees can use to take part in the survey securely and anonymously. The rooms or areas designated for this purpose are usually marked on site.
If employees are unsure where they can take part, they can contact their manager or the local HR team at any time.
Who can take part in the survey?
Is participation in the survey voluntary?
Yes, participation is voluntary. It is very important to us that as many employees as possible take part and we therefore need your valuable support to make this survey a success. Only in this way can we obtain a comprehensive picture of the general mood and at the same time actively shape the future development of our company together.
Can the survey be conducted from home using a personal computer, smartphone or tablet?
Employees work in shifts - how do they find time to complete the survey?
What happens if employees have changed jobs internally in the last year?
My manager has changed. How should the questions on "My manager" be answered?
"My manager" refers to the current manager who is responsible for assigning tasks, providing feedback on work in general and conducting performance appraisals at the time of participation in the survey. If employees were temporarily reporting to an interim/interim manager, they should answer the questions based on their experience with that manager.

Which external partners do we work with?
The protection and confidentiality of our employees' responses is our top priority.
To ensure that everyone can express their opinions openly and honestly, we have made a conscious decision to work with external partners Mercer and Qualtrics.
Both companies are renowned providers of employee surveys with many years of experience in the field of data security and data protection. The responses are treated and evaluated in strict confidence. The responses are used solely for the purpose of further improving the working environment at Stabilus.
Confidential means that no one in our company has access to the input and that it cannot be requested. Once the survey has been processed and evaluated, the data is deleted completely.
In this way, we ensure that the data is secure at all times.

The wrong language was selected when accessing the survey. How can I change the language to my preferred language?
If questions have already been answered, the survey page can be called up again later by clicking on "Save and continue later". If the survey has not yet been started, it can be called up again via the same link. The desired language can be selected by entering the access code. The survey can then be edited in the preferred language.
Despite having already completed the survey, a reminder email was sent. What is the reason for this?

How is the security of personal data ensured?
The protection of personal data is a top priority for us. We have therefore established various measures:
- Server location: All data is stored exclusively on servers in Germany (Frankfurt am Main). Back-up data is also located within the EU (Dublin, Ireland).
- External administration: From the start of the survey, Mercer acts as "brand administrator" in Qualtrics and manages the platform. This means that no one at STABILUS has access to results at the individual level at any time.
- Data economy: Only data that is technically necessary for conducting the survey (e.g. for invitations or results dashboards) is uploaded to Qualtrics.

Purposes of data processing
We process personal data to conduct a company-wide employee survey in order to obtain feedback on the working environment and employer perception. The results are used to identify development needs and derive organizational and cultural improvement measures.
The evaluation is exclusively anonymized and aggregated. It is not possible to trace which employees took part or which answers they gave. Evaluations are only carried out if at least five participants can be assigned to an evaluation unit. Results below this level are merged at the next higher level.
Legal basis
Your participation in the survey is voluntary.
The legal basis for processing is your consent in accordance with Art. 6 para. 1 lit. a) GDPR.
You can withdraw your consent at any time with effect for the future.
Categories of personal data
The following personal data is processed to carry out the survey
- Identification data (e.g. name, e-mail address for sending the participation link)
- Organizational assignments (e.g. department, location, function)
- Structural characteristics that enable a group-related evaluation
The answers you provide will not be personalized and will only be evaluated anonymously.
Implementation by external service providers
The survey is conducted exclusively by the following specialized service providers:
- Mercer Deutschland GmbH, Platz der Einheit 1, 60327 Frankfurt am Main, Germany
Role: Implementation and analysis of employee surveys.
- Qualtrics LLC, 333 W River Park Drive, Provo, UT 84604, USA, EU representative: Qualtrics Ireland Limited, One Clarendon Row, Dublin 2, Ireland.
Role: Provision and operation of the survey platform.
Recipients of the data
The recipients of the data are
- The above-mentioned service providers Mercer and Qualtrics for the implementation of the survey
- Selected managers only receive aggregated reports without personal reference.
Transfer to a third country
No data is transferred to a third country.
All data is stored exclusively on servers in Germany (Frankfurt am Main). Back-up data is also located within the EU (Dublin, Ireland).
Storage period
Once the employee survey has been completed, the personal data is deleted.
The evaluation results remain exclusively in anonymized form.
Voluntary nature and provision of data
Participation in the survey is voluntary. You are neither legally nor contractually obliged to take part in the survey. Non-participation will not result in any disadvantages for you.
Your rights
As a data subject, you have the following rights in accordance with Art. 15-21 GDPR

- Right to erasure (Art. 17 GDPR)

Can answers be traced back to individual persons?
No. An analysis is only carried out if at least five people per team have taken part. This ensures that no individuals can be identified from the results. In addition, the results are grouped according to relevant structures and evaluated and reported in aggregated form at least at department level.
What happens if a team has fewer than five members?
Individual responses will not be viewed by anyone in the company. Mercer will not share the data in a form that allows conclusions to be drawn about individuals or small groups of individuals (less than five people).
If there are fewer than five responses, these results are included in full in the next higher reporting level.
What types of reports and information will Mercer provide to Stabilus executives?
Selected executives will have access to summary reports that reflect the key themes and trends of the results for the organization. These managers will share the results with their management teams and also with employees.
Executives will not have access to individual employee responses. Mercer will not share individual responses with anyone at Stabilus.
Do all managers receive a report?
What happens after the survey?
After the survey, we continue the process with so-called culture sessions. These 60-90 minute workshops are a central component of our joint shaping of the future. In these sessions, we take a closer look at our immediate working environment - our teams, processes, leadership, attitude and collaboration.
The culture sessions will be facilitated by HR. Both managers and employees will take part and contribute their views and ideas.
